How to download your Etsy orders as a CSV, and what to do with it
Etsy lets every seller download their sales as a spreadsheet file. It is the most complete record of what you sold, and it is the starting point for any profit or inventory report you build yourself. Here is where to find it and which file to pick.
Where to find the download
1. Sign in to Etsy and open Shop Manager. 2. Go to Settings, then Options. 3. Open the Download Data tab. 4. Under Orders, choose the CSV type, the month and the year. 5. Select Download CSV. You can download one month at a time. For a full year, download each month.
Order Items or Orders: which CSV to choose
Etsy offers more than one CSV type. The two that matter here: - Order Items has one row per item sold, with the item name, quantity, price, variations, SKU and the order it belongs to. This is the one you need for profit per product and for material stock, because it says what was sold. - Orders has one row per order, with totals such as order value and card processing fees, but no item names. It is useful for checking totals against your deposits, but cannot tell you which product made the money.
Things to watch for in the file
- An order with several items appears as several rows, and the order's shipping is repeated on each row. Do not add it up per row, or you count shipping several times. - Discounts from coupons appear per row as a discount amount. - The SKU column is only filled in if you set SKUs on your listings. Without them, match on the item name. - Opening and re-saving the file in a spreadsheet can change date and number formats.
Turning it into a profit report
In MakerLedger, open Import orders and choose the Order Items CSV. The file is read in your browser and not uploaded anywhere. Each row is matched to one of your products by SKU or item name, the order's shipping is split across its items, and fees, materials and postage are subtracted. Rows it cannot match are listed so you can match them once; the match is remembered for next month. Importing the same month again skips rows already in the ledger.

Can I download more than one month at once?
The download works one month at a time. Import each month's file; MakerLedger keeps them together and skips duplicates.
My SKU column is empty. Does matching still work?
Yes. Rows are matched by item name when there is no SKU, and you can match a listing title to a product once.
Does the CSV include Etsy's fees per item?
The Order Items file does not break fees down per item, so they are calculated from your fee rates.
