Inventory tracking for Etsy makers: count materials, not just finished items

Etsy's quantity field tracks finished listings. If you make to order, that number tells you almost nothing about what is left on your shelf. The inventory a maker actually runs out of is cord, beads, clasps, wax, fabric and packaging. This guide covers how to track those as sales come in.

Why Etsy's listing quantity is not your inventory

A listing quantity of 10 means Etsy will sell up to ten before it marks the listing sold out. For made-to-order work, sellers often set that number high and make each item after the sale. The real limit is materials: you can list a bracelet as available, but if you have 2 metres of cord left you can only make one. Listing quantity and material stock are two different things, and only the second one tells you when to reorder.

Describe each product as a recipe

The way to connect sales to materials is a recipe per product. For example: Sailor knot bracelet = 2.5 m waxed cord + 1 brass clasp + 1 gift bag Once each product has a recipe, every sale tells you exactly what left the shelf. Two bracelets sold means 5 m of cord, 2 clasps and 2 gift bags used. The same recipe gives you the material cost per item, so inventory and profit come from one piece of information.

Draw stock down from your sales

Count what you have once, as a starting stock number per material. From then on, stock left = starting count − (recipe quantity × units sold) for every sale since. When you restock, update the count. Doing this by hand in a spreadsheet means a lookup per sale per material, which is where most sellers give up. A ledger that already knows the recipe can do it on import.

Doing it in MakerLedger
